Fleet Maintenance
General Maintenance Functions
The maintenance
departments primary function is to maintain vehicles so
they may operate safely out on the road. To that end, a
preventative maintenance schedule must be established for
vehicles and major components.
Vehicles must be serviced
(fuel, oil, lubricants) on a regular basis. The department is
accountable for tracking workorder labor, parts issues,
consumables, costs per vehicle, component warranties, driver
reported defects, and roadcalls. The department also is
responsible for establishing labor standards for vehicle
repairs.
Fleet-Net ® software products
enhance your abilities in the areas of: bar code inventory
management, fleet maintenance, component and warranty
tracking, vehicle problem and roadcall reporting, tire
tracking and workorder processing. In addition, by
interfacing with your automated fuel island, we can
exponentially increase the return on such an investment.
Fleet
Maintenance
Fleet-Net's Vehicle
Maintenance module allows you to monitor repairs and
associated costs. It provides performance indicators such as
fuel, miles per gallon, oil consumption, transmission fluid
usage, coolant replacement, and mechanical problems. Vehicle
Maintenance retains life cycle costs for each vehicle and
compiles data for Section 15 Form 402 and 408 for reporting. This
program contains the following specific features:
Records
vehicle information. Maintains
a vehicle profile that stores all pertinent vehicle information
required to:
 | Identify vehicles. |
 | Record MTD, YTD, and LTD
costs associated with a vehicle. |
 | Identify preventative
maintenance parameters. |
 | Compile Section 15 Form 408
data. |
Automates
PM Inspections.
 | Inspection
Forecast Reports. Provides inspection forecast reports for
all vehicles and prints PM checklists for vehicles due
for inspection. |
 | Inspection
Due Report. Provides
a list of vehicles overdue for inspection |
 | PM
Checklists.
Allows users to define Preventative Maintenance (PM)
checklists for an unlimited number of vehicles and
components. Automatically generates a workorder, prints
out related tire information, parts list, and deferred
defect items. |
Audits
consumables data.
Provides for daily entry and/or automated fuel island import of
consumables auditing data.
 | Accommodates pump meter and
tank measure readings. |
 | Accounts for miscellaneous
consumables issues. |
 | Allows service entry by hub
or mileage readings and accommodates off-site servicing. |
 | Automatically updates daily
service costs and mileage to the vehicle file while
reducing on-hand consumables quantities. |
 | Service Audit
Report.
Provides a
service audit report noting any vehicle usage
discrepancies. |
Tire
Maintenance Data. Maintains
a tire profile that:
 | Identifies tire usage and
costs. |
 | Automatically updates
mileage. |
 | Records tire change
information. |
 | Assigns tires to a specific
vehicle. |
 | Tracks lease costs. |
Standard
vehicle/tire reports and inquiries:
 | Vehicle listing. |
 | Fleet exception standards. |

 | Pump and tank list. |
 | Monthly fuel and oil
averages. |
 | Tire listing. |
 | Tire inquiries by vehicle or
tire ID. |

Component & Warranty Tracking
Component
data. Maintains a
component profile that:
 | Identifies components by
type, ID, vehicle, etc. |
 | Tracks warranties - elapsed
miles, days since installation of component. |
 | Tracks rebuild cycles - life
expectancies, min/max miles between overhauls, miles
since last overhaul, etc. |
 | Identifies preventative
maintenance parameters. |
Automates
PM Inspections.
 | Inspection
Forecast Reports. Provides inspection forecast reports for
all vehicles and prints PM checklists for components due
for inspection. |
 | Inspection
Due Report. Provides
a list of vehicles overdue for inspection |
 | PM
Checklists.
Allows users to define Preventative Maintenance (PM)
checklists for an unlimited number of vehicles and
components. Automatically generates a workorder, prints
out related tire information, parts list, and deferred
defect items. |
Standard
Reports and Inquiries:
 | Component
Report. Generates
detailed information on components. |
Workorder
Processing
Workorder Processing programs
allows detailed entry of labor and parts required to repair
vehicles. As a result, the user is able to conduct sophisticated
on-line inquiries of the historical database. This module
includes the following features:
Records
and stores workorder information by vehicle. The parts used reduce on-hand
inventory
quantities and interface to general ledger inventory and expense
accounts. Rebuilds, components, and outside expenses are also
accommodated.
Prints bar
coded workorders
immediately upon assignment of work by supervisor. Use laser
scanner to scan parts and labor operations.
Standard
workorder reports and inquiries:
 | Workorder audit list. |
 | Vehicle workorder history
inquiry. |
 | Workorder inquiry. |
 | Workorder list. |
 | Workorder detail by vehicle,
component, or rebuild item number. |
 | Workorder general ledger
detail audit and interface to subsidiary general ledger
journal. |
 | Workorder detail by customer. |
 | Workorder detail by finished
inventory. |
 | Workorder detail by other
items. |
 | Workorder detail by inventory
issues. |
 | Workorder detail by
operation. |
 | Workorder totals by class
code. |
 | List open workorders. |
 | Operation code listing. |
Vehicle Problems and Roadcall
Reporting
The Vehicle Problems/Roadcall
Reporting program allows dispatchers to enter roadcalls as they
are reported, generating a workorder as well as a roadcall report
for the mechanic. Safety related defect reports become workorders
instead of roadcalls. Non-safety related defects may be deferred
and listed on the next PM checklist.
Management inquiries and reports
include problems by vehicle, driver, problem code, and mean time
between failures. Instead of just recording the symptoms,
now you can identify the cause of problems and work to
eliminate them. This module includes the following features:
Records
roadcall information quickly.
 | Information
is shared between maintenance and operations. |
Records
driver reported defects.
 | Safety
related items generate immediate workorders. |
 | Non safety
items can be immediately entered and will print as
deferred defects on the next PM checklist. |
Compiles
statistical data for National Transit Database (Section 15)
reporting.
 | Scheduled route departure
time, vehicle release time, number of minutes delayed. |
 | Number of trips lost, number
of passengers delayed. |
 | Revenue miles and non revenue
miles lost. |
Standard
inquiries and reports:
 | Roadcall Report that enables
the mechanic to have all relevant information when on the
road for repairs. |
 | Roadcall/defect inquiry by
vehicle, driver, dispatcher, problem code (mechanical or
other) or date range. |
 | Problem Correction Report
which provides notification to the driver when the repair
is completed. |
 | Problems by vehicle noting
mean time between failures. |
 | Problems by driver. |
 | Problems by problem code
noting mean time between failures. |
 | Vehicle miles by type or
code. |
Vehicle
Status
The vehicle status module is used
to track the status of your revenue vehicles. In effect, this
program serves as a communication tool between Maintenance and
Dispatch. Vehicle status can be updated via the Vehicle Problems and Roadcall Reporting module or the vehicle status program.
Standard
inquiries:
 | All revenue vehicles display
with their current status noted by user defined status
codes. |
 | Vehicle make and model along
with date of status change and last date cleaned is
readily available. |
 | If a vehicle is not available
for vehicle assignment, a history inquiry can be made
that displays all recent roadcall to determine if a
vehicle can safely be taken if required. |
 | Inquiries can be made by
vehicle or vehicle status code. |
